Special Project Coordinator

Position Overview

Under the supervision and oversight of R&D Management, the Special Project Coordinator will provide extensive support for tradeshows, exhibits, and specialty events with routine day-to-day tasks. This role requires strong organization and communication skills to assist and ensure success during these events. This position requires travel.

Responsibilities & Job Duties:

    • Maintain schedules for industry trade shows and events.
    • Conduct project status checks with the Product Development Team to ensure event and show targets are met.
    • Gather industry tradeshow statistics – number and type of attendees, duration, target clientele, etc.
    • Coordinate logistics of company events from badge registrations to specialty product sourcing to on-site receipt of supplies and materials.
    • Communicate with multiple departments and vendors to ensure that production of needed materials is completed by due dates/schedule.
    • Provide on-site support for client presentations by gathering necessary information, ensured timely setup, and assisting with product delivery timelines.
    • Maintain inventory of necessary items to support urgent requests.
    • Assist in the preparation of interdepartmental presentations.
    • Work with Development team to create and finalize Product Information Forms for every item.
    • Able to Travel as needed.
    • Support project budgeting by obtaining quotations and forecasting costs.
    • May perform additional tasks and projects as assigned.

Qualifications & Skills:

    • Bachelor’s degree, preferably in Marketing and/or Food and Beverage Services or related field.
    • 3 years’ office clerical experience, with a concentration in Communications and Asian Cuisine.
    • Good communications skills both verbal and written.
    • Able to work in a fast-paced environment.
    • Able to work in a Team setting and able to communicate with all levels.
    • Ability to approach all tasks with a fresh outlook, positive attitude.
    • Fast learner
    • Time management skills are essential.
    • Highly organized and detailed-oriented.
    • Proficient with Microsoft Office applications—Word, Excel, PowerPoint, Outlook.

Physical Demands:

    • Prolonged periods sitting at a desk and working on a computer.
    • Must be able to lift up to 15 pounds at times.

Location: On Site

Schedule:  Monday – Friday (8:00am-5:00pm)

Salary range: $22.00 – $25.00 per hour
